Sr. Program Coordinator

Overview:
Sr. Program Coordinator will support program, financial, contractual, monitoring and administrative functions for the Technical Leadership Office (TLO). The TLO brings together the technical, monitoring and evaluation, and publications staff to conceptualize Jhpiego’s corporate vision into concrete, evidence-based interventions, and to work with Global Program Operations to materialize these practices into sustainable programs appropriate for low-resource settings. The TLO comprises seven technical units, including Global Learning, Human and Organizational Performance, Monitoring, Evaluation and Research, HIV/AIDS and Infectious Diseases, Family Planning and Reproductive Health, Maternal and Newborn Health and Publications & Design Services.
Responsibilities:
- Maintain and regularly update a database of global technical contacts and consultants
- Prepare, edit and store powerpoint presentations for VP and directors as requested
- Establish and maintain a database of Jhpiego journal publications, external presentations to conferences, as well as job aids and other Jhpiego learning materials
- Assist in the preparation, formatting and editing of reports (including quarterly review reports), powerpoints, workplans, and activity charts
- Set up and attend TLO Directors’ bi-monthly, and TLO Staff monthly meetings, and prepare and post meeting notes for each
- Contribute to overall strategy and implementation of program activities
- Develop and maintain excellent relationships with colleagues and donors worldwide
- Coordinate and/or represent Jhpiego in professional circles through meetings, conferences and presentations
- Identify and inform Vice President TLO and Technical Directors of successes, challenges and lessons learned
- Coordinate program activities, including ordering and shipping materials, assisting in the hiring and payment of consultants, arranging hotel reservations and tracking related expenses
- Collaborate with financial staff in the review, processing and reconciling of invoices and payment documentation
- Facilitate the work of Jhpiego consultants, in coordination with the Technical Directors
- Collaborate with Program Officers and Technical Directors to support program planning, implementation and monitoring
- In collaboration with field staff and Program Officers, ensure necessary program planning, development and management activities for assigned programs function smoothly and efficiently
- In collaboration with financial staff and Program Officers, prepare and track the progress of assigned project and activity budgets
- Work collaboratively to ensure that resources for program implementation are available as necessary in a timely fashion
- Draft and/or prepare program reports, workplans, activity charts and budgets and correspondence
- Assist with editing and proofreading of program reports and technical materials
- Draft correspondence to donors, NGOs and other agencies
- Schedule and support visitors to the Jhpiego TLO Baltimore Office
- Comply with Jhpiego and JHU operational policies and regulations
- Ensure fullest sharing of information and knowledge across the organization including field programs
Qualifications and Requirements:
- BA or equivalent with 2+ years’ program and administrative experience
- Understanding of global health and development approaches
- Knowledge of administrative processes and approaches and financial reporting and reconciliation
- Knowledge of contracts and global program operations
- Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform
- Proficiency in writing and editing letters, reports and documents
- Ability to interact skillfully and diplomatically with numerous counterparts, both domestically and internationally
- Strong decision-making skills and results-oriented approach
- Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
- Comfortable with a team approach to programming and the ability to manage several major activities simultaneously
- Availability to travel independently in new environments
- Proficiency in MS Office
